HubSpot CRM sync

Written by the CustomerSaid team · Updated Oct 14, 2026 · 3 min read

Revenue context makes feedback more valuable. The HubSpot sync copies company data from HubSpot into CustomerSaid so opportunities reflect who is asking and how much they are worth. The sync is one way: HubSpot is the source of truth and nothing is written back.

Who can do this: an Owner or Admin sets it up in Settings › Integrations, under the CRM group.

What syncs

  • Companies: name and domain.
  • Revenue: one HubSpot property of your choice, stored as ARR or MRR.
  • Segment: one HubSpot property, shown as the company's segment.
  • Company fields: any HubSpot company property can fill a custom company field.
  • Contacts who have an email, attached to their company.

Deals, owners, notes, activities and tickets are not synced.

Connect

  1. Open Settings › Integrations and choose HubSpot.
  2. Sign in with HubSpot to connect. Enterprise installations paste a private app access token instead.
  3. Open the mapping drawer and choose your revenue property and whether it holds ARR or MRR.
  4. Map the segment, and any properties you want as company fields.
  5. Save.

HubSpot's default annual revenue property is the company's own turnover, not what it pays you. The drawer warns about this and nothing is mapped by default.

How companies are matched

CustomerSaid matches a HubSpot company to an existing one by its earlier link, then by domain, then by name when there is no domain. If nothing matches, it creates a new company. HubSpot's name replaces ours, and its revenue is the value used. Records with neither a name nor a domain are skipped.

When it runs

The first pass imports every company and then contacts. Later passes read only what changed in HubSpot, once per hour. Choose Sync now in the drawer for an immediate pass. Saving a changed mapping restarts the pass from the beginning.

What you will notice

  • Priority scores update when revenue changes.
  • Synced company details are marked "Synced from HubSpot" and become read-only in the edit form.
  • Values that don't fit a field type are skipped and counted.

Disconnect

Disconnecting stops the sync. Companies, revenue, field values and contacts stay, and become editable.

Tips

  • Map a revenue property that represents what the customer pays.
  • Create dropdown fields, such as Plan or Renewal date, from the suggestions in the drawer.

Troubleshooting

Revenue is wrong. Check whether the mapped property holds ARR or MRR.

The connection shows an error. HubSpot may have refused the token. Reconnect.
